SMS Plc provide a completely integrated service from beginning to end, from project managing the installation of the gas and/or electricity supply and connection through to the procurement, installation and management of the meter asset, data collection and on-going energy management solutions.
 
The Facilities Management Coordinator will be responsible for ensuring Cardiff based facilities are maintained to the required standards within agreed frameworks and service level agreements. The Co-ordination of planned and reactive maintenance adhering to the relevant SMS policies, ensuring consistency across the Cardiff estate.
You will also look after the management of the FM helpdesk system, budgeting and reporting of maintenance activities, introducing efficiencies and best practice, ensuring suppliers adhere to agreed service levels and standards.

The successful candidate will be required to work 3 days per week (22.5 hour contract) between the hours of 9am-5pm , salary pro-rated .
 
 
Typical Duties
 
  • First point of contact for all facility issues within Cardiff buildings
  • To co-ordinate and ensure statutory maintenance activities (i.e. fire extinguishers, boilers, air conditioning and lifts), plumbing, heating and drainage, lighting and electrical safety (PAT Testing), furnishings such as carpets and window coverings, all waste disposal streams, emergency maintenance – i.e. flooding, leaks and security, cleaning
  • Proactive mangement of the FM help desk (this is a web-based ticketing system on the Zen Desk platform); taking calls and prioritising tickets and dealing with the urgent and important first, whilst communicating with others as required
  • Budgeting for maintenance work (ensure that basic facilities i.e. water and heating are well maintained)
  • Updating notice boards and signage– Fire Warden/First Aider/insurance/industry standard accreditations, certificates etc.
  • Notifying staff of contractors on site and any implications associated with that i.e. lift being out of order for maintenance etc.
  • Build and maintain Supplier relationships
  • Manage contracts for providers e.g. cleaning, maintenace, sanitary, waste disposal, recycling, grounds works etc
  • Reporting on KPI’s and SLA’s around facilities management activities, general administration
  • Provide appropriate communication for SMS employees around facility management activities
  • Assisting with fire and other safety evacuations
  • Validation of supplier invoices for works completed
  • Monitor energy efficiency
  • Act as point of contact for refurbishments/renovations/building works/relocation etc.
  • Monitor prepare and feed into FM budget planning
  • Any other duties as required
 
 
Skills Required
 
  • Excellent IT skills essential including Word & Excel
  • Must be able to work independently
  • Able to prioritise a continually changing and demanding workload to meet tight deadlines
  • Excellent stakeholder management skills i.e. suppliers, internally etc. (ability to manage expectations) 

 
Experience
 
  • Co-ordinating facilities maintenance (experience of work planning & scheduling)
  • Reporting on facilities activities (and ideally including financial and performance)
  • Managing facilities within offices in multiple locations (Desirable)
