What's the role?

SMS are currently on the lookout for a Fleet Administrator to join our busy and dynamic Fleet Department. Fleet administrators are assigned to work in various areas of the Fleet Department which include managing the service, maintenance, and repair of the Fleet ensuring that vehicles are roadworthy and fully compliant. The successful candidate will also be managing driver compliance, ensuring our drivers' documentation are fully compliant and in line with our motor vehicle insurance and legislation. They will also assist in the demobilisation/mobilisation of vehicles for new starters/leavers. 

You will be working in a fast-paced environment where attention to detail is of paramount importance, a logical and can-do attitude is a must. Opportunities are available to learn and develop Fleet skills with continuing education. 

This role is offered on a hybrid working basis (2 days in the office and 3 days at home typically), and the working hours are 40 hours per week. The shift pattern is 8:00am to 4:30pm, Monday to Friday.

 

Key Responsibilities: 

The responsibilities of this role include, but are not limited to, the following:

  • Managing the service, maintenance and repair of the Fleet.
  • Managing MOTs/Road Tax of the Fleet.
  • Managing vehicle breakdowns, ensuring drivers are safe. 
  • Ensure any replacement vehicles/off hires are added/removed from the MID.
  • Managing downtime of vehicles.
  • Logging calls from engineers and logging any vehicle related matters on the fleet management system, and/or where necessary escalating to the Fleet manager. 
  • Managing the Fleet Admin email inbox and forwarding any emails to other members of the team or categorising emails for other team members to action.
  • Uploading daily the maintenance works orders for the fleet team. 
  • Assisting engineers to park vehicles via parking platforms.
  • Raising purchase orders and reconciling invoices at month end. 
  • Ensure any replacement vehicles/off hires are added/removed from the MID
  • Arranging the return of vehicles back to depot for demobilisation. 

 

To be considered for this role, we would love you to have/be:

  • A relevant degree/qualification in business and/or administration.
  • Experience in service/maintenance/ repair in the motor trade industry.
  • Experience in operations/logistics desirable.
  • Experience of Logistics Van excellence or FORS accreditation.
  • The ability to build and maintain relationships with the Fleet Team, suppliers and other stakeholders.
  • Excellent communication and organisational skills.
  • Resilient and responsive to change.
  • Equipped to hit the ground running and deliver results at pace, while maintaining poise.
  • Full UK Drivers License.
