What's the role?

Reporting to the Stock Team Leader, the Stock Administrator is responsible for ensuring replenishment and stock system accuracy and stock reporting activity.  This role will require good communication and close working with warehouse/transport functions to ensure timely and accurate replenishment of stock.

The stock administrator will work alongside operations to support engineers via email/phone.

The stock administrator will create engineer orders, showing both speed and accuracy.

The stock administrator will work across both forward and reverse functions dependant on requirement.

Day to day maintenance of relevant systems and raising of documentation and reports to allow efficient processing.

Including daily schedules, POD, communication to other departments, chasing up collections, dispatches, reporting any anomalies, etc. Liaising closely with the warehouse team in ensuring all requests are ready for dispatch as per the working schedule. 

Key responsibilities:

  • Update and maintain relevant systems & spreadsheets relating to the Reverse Logistics Operations (Removed Assets & Triage).
  • Maintain high standards of data input, adjustments and reporting to enable system integrity relating to the Reverse Logistics Operations (Removed Assets & Triage).
  • Liaising daily with the Glasgow and Doncaster department on collections, 3rd parties request, storage, communications etc.
  • Assist the Stock Team Leader in carry out stock checks at month end working with the warehouse team, in ensuring all data is collated and passed on accordingly.
  • Reporting to and working with the stock team to ensure physical stockholding across all SMS locations is accurately reflected within the stock system.
  • Working with all Warehouse depots on stock levels, looking at short falls and ensuring stock levels are replenished to fulfil orders.
  • Creating picking lists for the warehouse using information from many sources.
  • Ordering specialist stock items, tracking delivery dates and communicating with other business areas to minimise the impact of any stock shortages.
  • Take initiative and comfortably respond to any queries, working closely with other members of the stock team to resolve, and escalating if necessary
  • Liaising daily with customers, planning and scheduling teams, sub-contractors and transport & warehouse functions.
  • Using excel for booking in meter returns, monitoring stock updates, performing stock movements and maintaining a detailed tracker of pallet records.
  • Working with third party owners and booking in for outbound collections and deliveries of third party owned meters.
  • Creating picking and removal lists for the warehouse, using information from various system sources.
  • Ownership of checking meters once booked into the warehouse.
  • Ad-hoc duties that supports both the function and the business as and when requested
  • To step up into any role to cover any holiday cover, sickness if required 

To be considered for this role, we would love you to have:

  • Knowledge of Stock/Admin/ skills, working within a Warehouse environment, able to work with others and own initiative, working in accordance to daily schedules.
  • Strong Microsoft and excel skills
  • Able to work in a busy and demanding environment without sacrificing quality or breaching H&S Rules and Regulations
